Your role as a Provider in the EMR

Overview

Providers use Pathfinder EMR to deliver services, document care, and support clients throughout their recovery journey. As a Provider, your primary responsibilities include creating and managing client records, scheduling appointments, completing documentation, and maintaining required plans and surveys.

Your access to the EMR depends on completing onboarding steps managed by your Organization Administrator. Once activated, the EMR guides your daily workflow to ensure services are delivered and documented correctly.

Add and Manage Clients

Providers are responsible for creating client profiles before services can begin.

This includes:

  • Adding new clients in the EMR
  • Completing all required client stages
  • Help manage client profiles by avoiding duplicate records

Clients must be fully approved by an Org Admin before appointments can be scheduled.

Schedule Appointments and Document Services

Once a client is approved, Providers can:

  • Schedule appointments
  • Manage and Update IRP Goals
  • Complete DAP notes for every appointment

All appointments require completed documentation and should be routed as billable or non-billable events.

Create and Maintain Individual Recovery Plans (IRP)

Providers are responsible for completing and updating the IRP.

This includes:

  • Accessing the IRP tab in the client profile
  • Completing Basic Needs before adding goals
  • Adding recovery goals with required details
  • Updating goals with progress notes over time

The IRP helps track progress and guide ongoing care.

Summary

As a Provider, you are responsible for delivering services, documenting care, and maintaining accurate client records in Pathfinder EMR. Your daily work includes creating and managing client profiles, scheduling and documenting appointments, and completing required plans such as the Individual Recovery Plan (IRP). While your access is dependent on Org Admin activation, once onboarded, Pathfinder EMR supports your workflow by guiding required steps and ensuring compliance. Consistent, complete documentation helps support quality care, track client progress, and ensure services are delivered without interruption.
